Google Drive is a service offered by Google that allows you to upload documents, pictures or entire folders and allows you to store and synchronize them. It is easy to login in to Drive, you have to visit the website https://drive.google.com/ and access your personal account. Subsequently you can visualize on “My Drive” files or folders first created or that have been synchronized. From the page it is possible to upload files directly from your computer or create new Documents, Sheets or Slides. After the creation of the file it’s always possible to modify it or share it with other users. Sharing it other people can visualize, edit or comment on the file.
How to share files from Google Drive?
To share a Drive’s file it’s only necessary, after be logged in, to click on the file concerned , after tap More and then tap Share .
Thanks to Drive it is possible to share more documents at once by only adding them to a folder and sharing the entire folder clicking on the share button as explained before. To choose who to share with and how they can use your file, under the “Share with people” you have to enter the email address you want to share with and tap Done.
How to set Drive users’ sharing permission?
Using Drive you can set permission by organizational unit or group, otherwise utilizing the domain and successively customize permission for groups of users or across organizational units.
To do that you have only to follow the following steps:
1- Add an organizational unit for each department or domain.
2- Move users to your organizational units.
3- Set sharing permissions for each organizational unit .
Once these steps have been carried out it is possible to let users in your organization share with anyone, restrict sharing outside of allowed domains or outside your organization. Using the site you can also control files stored and the shared drive’s creation and even allow users to share files publicly. To set Drive users’ sharing permission you may set the default for link sharing if you share files in My Drive but not in shared drives or you may set a target audience that verifies users have access to file. The service also prompts users to give access if necessary. This happens when users:
- – Send Gmail or Google Chat messages with links to files that haven’t been shared with recipients.
- – +mention someone in a comment in a doc who doesn’t have access to the doc.
- – Attach files to calendar events where guests don’t have access to the files.
As an administrator, you can specify the level of access users can give using the Google Admin console and clicking on Sharing options. It is possible that once selected, the file will not open or will be requested for permission.
If the file won’t open it is possible that the file owner didn’t give you permission to view the file, you’re signed in to a different Google Account or your access could be denied because someone removed your permission to view the file. If otherwise Drive asks to you a permission it is necessary to click “Request access” and the owner of the file will get an email asking for approval.
